2/25/18 Administrative Assistant

Office of Priestly Vocations, Office of Continuing Education of Priests, and Office of Diaconate Formation

The Diocese of Grand Rapids is seeking a part-time Administrative Assistant to provide a variety of specialized administrative support services to the Office of Priestly Vocations, Office of Continuing Education of Priests, and the Office of Diaconate Formation.  The successful candidate will provide administrative and clerical support, event coordination, database and website management while creating a welcoming environment for visitors and callers.

Qualified candidates will possess the following:

  • Fluency in English in both spoken and written word is necessary, while fluency in Spanish would be desirable.
  • Three to five years of experience in an office setting, ministry experience and a degree in a related field is preferred.
  • Excellent secretarial, clerical, computer, event planning and organizational skills with high competency in MS Office Suite, Sharepoint, and internet navigation
  • Ability to relate to a wide range of diverse cultures and to work independently
  • Excellent communication, interpersonal, customer service, detail and collaborative abilities
  • Detail oriented with ability to schedule and prioritize projects among multiple supervisors
  • Must be able to process and maintain confidential information with discretion.
  • Knowledge of office equipment (i.e., telephone system, fax machine, copier, postage meter, video/data projector, LCD, projector, computer, etc.)
  • Practicing Roman Catholic with broad knowledge of Catholic teaching. A familiarity with the parishes of the diocese is desirable.
  • Strong commitment to ongoing spiritual, personal and professional development
  • Must have a flexibility to accommodate the scheduling needs of the office.

2/25/18 Catholic Services Appeal Office Clerk

The Diocese of Grand Rapids is seeking a part-time (19 hours per week) Catholic Services Appeal Office Clerk to provide continuing support for the Catholic Services Appeal (CSA).

The CSA Office Clerk provides clerical assistance to support the CSA Administrator. Duties include administrative and related office services for the Catholic Services Appeal including maintain databases, process event registrations, process pledges, and assist with mailings.

Qualified candidates will possess the following:

  • High school diploma required. Some college helpful.
  • At least one year of experience in office/clerical work, preferably accounting or finance, or advanced record keeping
  • Excellent computer skills (Excel, Word, Outlook, etc.). Experience with Raiser’s Edge fundraising software is a plus.
  • Ability to process and maintain confidential information with discretion.
  • Excellent communication, interpersonal and collaborative abilities
  • Good clerical, time management, and organizational skills.
  • Knowledge of office equipment (i.e., telephone system, fax machine, copier, postage meter, computer, etc.)
  • Ability to multitask, prioritize daily tasks and meet deadlines
  • Must be able to work independently as well as on a team.
  • Knowledge and understanding of the Catholic Church and its mission are beneficial.

Support Services Manager

Hours: Full Time; Salaried

General Summary: This person oversees the Support Services department and ensures exceptional care is consistently delivered to our clients through overseeing and managing all support services, classes, and programs, both on-site and off-site.  This person is also expected to lead, supervise, and evaluate the training of paid and unpaid staff in the department. In addition, this position is responsible for modeling the cultural values of the PRC, including the value of collaboration within PRC departments and local community organizations.  This manager will ensure all policies and procedures are closely followed.

Reporting Relationship: Client Services Director

Position Description:

Supervision

  • Provides direct supervision and nurture to Support Services staff
  • Oversees the coordination of Support Services volunteers, including recruitment, training, supervision, and scheduling
  • Coordinates with the Client Services Director to hire staff and update job descriptions

Client Relations

  • Coordinates and oversees client interaction
  • Provides client care when paid or unpaid staff is unavailable

Administrative Duties

  • Oversees Support Services classroom instruction for clients, including personnel, schedules, and materials (both PRC-generated and community/church based)
  • Maintains Support Services department budget in cooperation with the Client Services Director

Qualifications:

  • A personal relationship with Jesus Christ, exhibited by a focus on prayer, study of the Bible, and the ability to lead paid and unpaid staff from a variety of denominations in ministering to PRC clients
  • Bachelor degree in related field (Human Services preferred), with administrative training or experience preferred
  • 3-5 years of experience working in a ministry or social service environment with clients
  • Eligible to work in the USA
  • All employees must be in agreement with the vision and mission of the Pregnancy Resource Center.
